Reservation Bylaws
The camp facilities are rented by reservation only. To make a reservation, please call the office at 706-820-1163. This is a local call from Chattanooga. We will send you a reservation form after the call, and you will have ten days to return the form with a deposit. The deposit will be deducted from your final bill. Once a deposit is made, if your group cancels, the deposit will NOT be refunded unless another group is engaged to fill the date you booked. If a group is found, we will return your deposit minus a $30 processing fee. Deposits cannot be transferred to other dates. It is almost impossible for the camp to re-book a date once it has been reserved for your group: thus, we treat your group’s deposit as a firm commitment for the date reserved.
Checks
Checks should be made payable to HOLSTON CONFERENCE CAMPING and sent with the reservation form (all copies) to the address below: HOLSTON CONFERENCE CAMPING P.O. BOX 2506 JOHNSON CITY, TN 37605-2506
Group Minimums
Please make note of minimum persons charged in facilities and programs. These minimums are included in the descriptions of the facilities, programs, and fees located in the previous pages.
Facility Reservation Deadline
If your reservation form and deposit have not been returned within the allotted time (ten days) the facility that you had requested will be available to another group.
Check In / Check Out Times
For overnight rental, check in time will be 3:00 PM or after, on the first day. During June, July, and August, check in time will be 5:00 PM or after due to the summer camp ministry schedule. Check out time will be no later than 2:00 PM on the last day of your group’s stay. If your group desires to stay past 2:00 PM, there will be an additional day use fee per person.
Right to Refusal
Camp Lookout is pleased to offer use of its facilities to groups outside the Holston Conference of the United Methodist Church. However, camp reserves the right to refuse rental of its facilities to groups whose purposes are determined to be inconsistent with the principles and spirit of the church.
Billing
All fees will be figured before your group leaves. Holston Conference Camping will bill you for these charges after your visit. No money will be accepted at camp.
Facility Cleaning
Group will be responsible for cleaning facilities used. A visual inspection will be made by a Camp Lookout Staff member before your departure. An additional fee may be added to the final bill for failure to clean facilities adequately and/or any damages incurred.
Insurance Coverage
By signing the Application for Use of the Camp, the group agrees to relieve, absolve, and forever release the Board of Directors and the United Methodist Church from liability for damage to property of/or injury to persons with said group. Limited medical and accident insurance is provided by Camp Lookout. We are in no way responsible for inadequate supervision on the group’s part. Camp Lookout is owned by the Chattanooga and Cleveland Districts of the United Methodist Church and operated by the Holston Conference Camping and Leisure Ministries, (HCCLM).
